Payroll & HR Systems Integration for PE-Backed Platforms
Every Bolt-On Brings Its Own Payroll. One Playbook Brings Each Onto Your Standard, Without Disrupting Pay.
A buy-and-build plan in Europe adds a company every few months, and each one arrives with its own payroll provider, its own HR system, its own pay codes and its own way of counting headcount. Fixing that one deal at a time stretches a lean corporate HR team, slows the 100-day plan and leaves the investor pack stitched together from spreadsheets.
Europe HR Solutions gives your platform one repeatable integration playbook. We map each acquisition, coordinate its payroll providers and HR systems onto your standard setup, and keep everyone paid on time throughout. We coordinate the change; your providers keep running payroll.
WHO WE ARE
The Integration Partner Your Platform Reuses on Every Deal
Most integration support is rebuilt from scratch for each acquisition. We work the other way round: a senior team based in Belgium sets the standard with your platform, in-country specialists apply it in each new market, and the same playbook runs on the next deal. We sit alongside your deal counsel, payroll providers and HRIS team and coordinate the payroll and people data side from signing to Day 100.
THE BOLT-ON LOOP
One Playbook, Run on Every Acquisition
The first integration teaches you what breaks. The point of a playbook is that the second, third and fourth do not have to relearn it: each deal runs the same loop and leaves the standard a little stronger.
- 1Deal closes
Day 1 continuity: everyone paid on time, on the payroll and systems they already use.
- 2Map
Providers, pay elements, calendars, HR data and contracts captured in your standard template.
- 3Integrate
Data cleansed and moved, providers and HRIS switched at a clean period start, works council steps where required.
- 4Standard setup
The company runs on the platform's provider panel, data model, controls and reporting.
- 5Ready for the next deal
Templates, checklists and lessons fed back into the playbook before the next close.
DAY 1 TO DAY 100
What Must Work at Close, and What Is Standard by Day 100
Day 1 has one rule: everyone is paid on time. Everything else is sequenced behind it, so the bolt-on joins the platform standard inside the 100-day plan without a single missed payday.
- From due diligence: providers, pay dates, cut-offs and benefits per country
- Representatives informed where the deal structure requires it
- Non-negotiableEveryone paid on time, on the existing payroll
- Access to payroll data, provider contacts and approvals secured
- Clear message to employees on what changes and what does not
- Full map of employees, pay elements, providers and systems
- Gaps against the platform standard listed and costed
- Cutover plan agreed with providers and the HRIS team
- Works council steps for new HR systems under way where required
- Parallel run checked line by line
- On the standard provider panel and HRIS, or a dated plan to get there
- Headcount and people-cost data in the portfolio format
Illustrative plan. Dates move with the deal, the countries and the providers involved; the order does not.
ONE PLATFORM, ONE STANDARD
One Standard in the Middle, Every Bolt-On Around It
The standard is not a single vendor forced on every country. It is a short list of approved providers, one HR system of record and one way of defining pay, people and cost that every new company plugs into.
Every Company Plugs Into the Same Setup
- Payroll provider panel
- HRIS of record
- One data model and pay codes
- Calendar, controls and approvals
- One reporting pack
Illustrative. One country may keep a local provider on the panel; what stays the same is the data, the controls and the reporting.
INVESTOR REPORTING
Headcount and People Cost on One Definition
One Set of People Numbers Across the Portfolio
When every company runs on the same data model, the board pack stops being a monthly reconciliation exercise. The same definitions also give you a clean data room when the platform goes to exit.
Heads and FTE by company, country and function
Gross pay, variable pay and employer costs on one definition
Joiners, leavers and open roles, counted the same way
On-time runs, corrections and provider issues per cycle
Pay transparencyPay gap reporting applies to each employer with 100 or more workers and includes variable pay; those with 150 or more report first by 7 June 2027, on 2026 data.

Integrating Payroll and HR Systems Across a PE Portfolio: Your Questions Answered
1. Do you run payroll for our portfolio companies?
No. Your payroll providers keep running payroll. We coordinate the change around them: we map each acquisition, set the standard, manage the cutover with your providers and HRIS team, and check the results, so nobody in the portfolio has to process payroll differently while the integration happens.
2. What is payroll and HR systems integration for a PE portfolio?
Payroll and HR systems integration means bringing each acquired company onto the platform’s standard payroll providers, HR system and data model without interrupting pay. In a buy-and-build, it is done as a repeatable playbook: the same mapping template, cutover checklist and reporting definitions on every deal.
3. Does a share deal or an asset deal change what we have to do?
Yes. In a share deal the employer stays the same, so contracts and payroll continue and integration is a choice you sequence. In an asset deal, employees move to the new employer automatically with their existing rights, collective agreement terms continue for at least a year where they apply, and the transfer itself is not a ground for dismissal. Employee representatives must be informed in good time, or the employees directly where there are none. We build these steps into the plan with your counsel.
4. How do you keep pay running during the integration?
Nothing changes on Day 1: the first payrolls after close run on the existing setup. A company only moves to the standard once its data has been reconciled and a parallel run matches line by line, and the switch happens at a clean period start with year-to-date figures carried across, so annual statements stay right.
5. Do we need works council approval to move a bolt-on onto our HR system?
Often, yes. In Germany the works council has a co-determination right over technical systems that can monitor performance or behavior, which in practice covers most HR software. In the Netherlands, works councils have a consent right over personnel information and tracking systems, and in France the CSE must be consulted before new technologies and automated HR processing are introduced. We put these steps on the timeline per country so the go-live date is realistic.
6. Should every portfolio company use the same payroll provider?
Not necessarily. What matters is one standard: a short panel of approved providers, one data model and pay code structure, one calendar and approval logic, and one reporting pack. A single pan-European provider can make sense for some portfolios; others keep strong local providers on the panel. We compare the options against your countries and headcount.
7. What happens to employee data when we migrate HR systems?
It stays under data protection law throughout. Each portfolio company is its own controller, so data is not shared freely across the group: every migration needs a lawful basis, only the data the new system needs, processor agreements with providers and vendors, and safeguards for any transfer outside the European Economic Area.
8. How does a standard setup help at exit?
A buyer’s due diligence asks for headcount, people cost, contracts, providers and payroll history for every company. When the portfolio already runs on one data model, that data room is built from the same reports you send the board, and the platform can show it runs as one business rather than a set of acquisitions.
